What is an "Active Client"?
An Active Client is any client record that has had activity within the last 18 months. Activity includes visits, exams, guide assignments, file uploads, and messages. Inactive clients beyond the 18-month window don't count toward your limit.
What happens if I go over my Active Client limit?
If your Active Client count exceeds your current limit, we'll notify you by email and display a banner in the app. Your limit will automatically increase to the next block on your next billing cycle, and your bill will adjust accordingly. There's no service interruption.
Can I reduce my client block size?
Yes, you can reduce your client blocks at any time as long as the new limit still covers your current Active Client count. The reduction takes effect on your next billing cycle.
How does Enterprise pricing work?
Organizations with 20,000 or more Active Clients qualify for Enterprise pricing. Enterprise is billed annually with a $588 platform fee plus 5,000-client blocks at $250 per month ($3,000/year) each, providing significant savings at scale.
What if I exceed my Enterprise limit by a small amount?
If you exceed your Enterprise limit by 5,000 clients or fewer, there's no immediate charge — your block count simply increases at your next annual renewal. For overages greater than 5,000, a pro-rated invoice is generated for the additional block.
Do I need a separate subscription for each location?
No. Your first location is included free. Each additional location is $75/month (or the annual equivalent for Enterprise plans). All locations share the same Active Client pool.
Is there a storage limit?
Each location includes 500 GB of storage for files, images, and documents. We'll notify you if you approach this limit, but it won't interrupt your service.
Are all features included?
Yes — every plan includes every feature: care guides, CRM, messaging, conversations, analytics, health insights, task tracking, SOAP exams, and multi-location management. There are no feature restrictions.
Is there a contract or commitment?
Standard plans are month-to-month with no long-term contract. Enterprise plans are billed annually. You can cancel or adjust at any time.
Can I switch between Standard and Enterprise?
Yes. Once your practice reaches 20,000 Active Clients, you can transition to Enterprise pricing for better per-client rates. Contact us or use the in-app billing planner to switch.
How do I get started?
Click "Get Started," create your account, and you're ready to go. Your $49/month base fee includes up to 500 Active Clients on Standard billing. Once you reach 20,000 clients, Enterprise pricing starts with annual billing and 5,000-client blocks.
